Work Management

IBM Maximo’s Work Management functionality is a cornerstone of its Enterprise Asset Management (EAM) capabilities, enabling organisations to plan, track, and optimize maintenance activities effectively.

It supports a comprehensive approach to maintenance, integrating preventive, condition based, and corrective maintenance strategies to enhance asset reliability and operational
efficiency.

Preventive Maintenance (PM)
Maximo ensures that routine maintenance tasks are scheduled based on time intervals or usage metrics, reducing unexpected failures and prolonging asset life.
Condition-Based Maintenance (CPM)
Leverages loT sensors and real-time asset monitoring to trigger maintenance actions only when performance thresholds are exceeded, reducing unnecessary interventions and optimising resource utilization.
Corrective Maintenance

On the other hand, enables organisations to respond efficiently to unexpected failures by streamlining work orders, resource allocation, and inventory tracking.

These maintenance strategies are seamlessly integrated within Maximo’s core.

Asset Management

Work orders are directly linked to asset records, providing a complete history of maintenance activities, failure trends, and lifecycle costs, enabling data-driven decision-making.

Inventory Management

Maximo ensures that spare parts and materials are available when needed by automatically reserving stock for planned maintenance tasks, reducing downtime and
procurement delays.

Service Management
Maintenance requests can be prioritised and assigned based on service level agreements (SLAs), ensuring timely response and improved customer satisfaction.
Resource Management
Technicians and crews are assigned based on availability, skill sets, maximising workforce efficiency.

Maximo also enhances productivity through mobile and scheduling functionalities. The Maximo Mobile applications enable field technicians to access work orders, and update job status in real time, reducing paperwork and improving response times. Advanced scheduling tools allow maintenance planners to visualise workloads, balance technician assignments, and optimise work execution across teams.

Service Management

IBM Maximo includes a comprehensive Service Management solution that provides organisations with powerful tools to manage service requests both from internal personnel and clients alike.

Service Requests are fully integrated with asset register and work management modules and includes features such Customer Agreements. SLAs and Response Plans allowing the end-to end functionality from the issue being raised through to scheduling mobile execution and eventual billing limiting the user intervention to a minimum.

Maximo allows a multi-modal solution for entry of Service Requests. The end user can control the entire lifecycle of request either from the desktop application or directly from the mobile application receiving updates on the go. Moreover, Self-Service Request users do not require any MAS license allowing for
cost-effective deployment.

Service Requests are automatically tailored for each customer by including customer specific and highly customisable:

Service Level Agreements

This allows for the determination of response and resolution time for each Service Request depending on classification and prioritisation.

This determines the price of labour, services and materials used on the Service Request and allow for automatic billing to be generated.

This determines the standard work management details for request of a specific type.

Together these three elements determine the work to be done in which priority and the ultimate billing to be carried out when the work is completed, with limited user intervention.
The entire Service Request experience is integrated with all the other Maximo modules including:
Work Management

This allows for the seamless creation of work and status management between the Service Request and the Work Order.

This allows for the full traceability of requests back to the asset maintaining the full lifecycle cost management of each asset.

This allows the work related to the Service Request is automatically added to the resource management capabilities within Maximo.

MAS includes specific add-on solutions for Service Providers and ITSM (IT Service Management) which provide additional functionality related to the specific processes and needs for the specific industries.

Supply Chain Management

IBM Maximo provides robust supply chain management capabilities, enabling organisations to streamline procurement, inventory, and financial approval processes. Several key applications in Maximo contribute to efficient supply chain management, including purchase requisition, purchase order, receipt processing, purchase invoices, and request for quotation.
Purchase Requisition
This application allows maintenance planners and schedulers to manage and schedule upcoming work. It provides a graphical view of work orders, enabling users to visualise and adjust schedules based on resource availability and workload balancing.
Purchase Order
Once a purchase requisition is approved, a purchase order (PO) is created. The PO acts as a formal contract between the organisation and the supplier, detailing item quantities, pricing, and delivery terms. The Purchase Order application includes a revision process allowing a full history of any changes.
Receipting
The Receipting application enables organisations to confirm the receipt of goods or services. This step ensures that the delivered items match the purchase order, facilitating accurate inventory management and payment processing.
Purchase Invoices
This application is used to process supplier invoices against purchase orders and receipts. It allows finance teams to validate invoices before payment, ensuring accuracy and compliance with procurement policies.
Request for Quotation (RFQ)
Supervisors and dispatchers can utilise this dashboard to analyse upcoming work assignments, identify potential issues, and make necessary adjustments to schedules and assignments.

All applications are fully integrated allowing visibility of the end-to-end procurement process.

These applications are under pinned by a set of Contract Management applications. The Contract Management applications provide for long term agreements with vendors which can be of various types including Framework Agreements, Blanket, and Price Schedules.

Workflow Designer and Financial Approval

Maximo’s Workflow Designer facilitates the automation of business processes, including financial approvals.

Organisations can configure approval hierarchies to ensure financial transactions align with company policies. Budget management within Maximo helps control expenditures by verifying that purchase requests and orders do not exceed predefined budget limits, ensuring financial accountability.

Integration with ERP Systems
Maximo seamlessly integrates with Enterprise Resource Planning (ERP) systems to enhance data consistency and operational efficiency. Integration enables real-time synchronization of financial data, procurement records, and inventory levels between Maximo and ERP platforms like Dynamics 365 Business Central, SAP or Oracle. This interoperability ensures a cohesive approach to asset and supply chain management, reducing errors and improving decision making processes.
